Job Offer: Administrative Technician



MUTEK is a non-profit organization dedicated to the diffusion, promotion, production, and
development of emerging forms of digital creativity and electronic music. Its main activity is the annual presentation of the MUTEK Festival and its Professional Forum held in Montreal in
August, while the rest of the year is led by various occasional activities. Driven by humanist

Reporting to the executive director, the administrative and accounting manager ensures the
efficiency of the administrative and financial management of the organization. This person also
ensures the smooth running of the office and coordinates several tasks related to the general
operations of the organization.

Duties and Responsibilities

  • Monitor the budget of the organization and its various projects (follow-up by each
    department and by project, receipt of invoices, cost reports, etc.);
  • Ensure the proper functioning and organization of the office;
  • Updating of monitoring tools and administrative documents;
  • Assist in the preparation of MUTEK presentation materials, project reports and year-end
  • Management of MUTEK subscriptions and memberships ;
  • Maintain the inventory (loan and rental) of MUTEK equipment ;
  • Support to the executive director for the management of the Board of Directors.


  • Ensure the administrative follow-up of accounts payable and receivable (payments and
    billing) as well as the treasury flows;
  • Bookkeeping, preparation of journal entries, account reconciliations, monitoring and
    preparation of bank reconciliations;
  • Monthly production of revenue and expense statements, production of reports by the
    project ;
  • Follow up on current banking transactions, validate and track term deposits ;
  • Management and processing of employee payroll (via Employer D, collective insurances
    and RRSP ;
  • Management and declaration of withholding taxes for foreign workers;
  • Analyze and validate employee expense reports and corporate credit card accounts;
  • Follow up and make claims for wage subsidies;
  • Tax returns; filing of various government reports, validation and settlement ;
  • GST/QST Reports ;
  • Accounting during the Festival (income from bars, ticketing and stores, preparation of
    petty cash, cash orders) ;
  • Preparation of financial statements;
  • Production of the various government statements (T4, T4A and T4A-NR) and annual
    reports ;
  • Production of annual declarations;
  • Accounting for exchanges in services;
  • Management of the office petty cash;
  • Tracking charitable donations.


  • College (DEC) or University degree (Minor) in administration;
  • Minimum 3 to 5 years experience in a similar position ;
  • Mastery of Quickbooks software (an asset);
  • Excellent command of computer tools (MS Office suite), particularly the software excel;
  • Bilingual ;
  • Good knowledge and understanding of the cultural and NPO environment (an asset);
  • Experience in the festival industry (an asset).

Working Conditions

  • Start date: as soon as possible ;
  • Full time (flexibility required during festival periods) ;
  • Permanent position ;
  • Position based in Montreal (telecommuting and/or hybrid model during the Covid-19
  • Salary: to be discussed according to experience.
